HECTQ - Higher-Education Staff Communication Platform

Inside universities, the answers do not always come quickly or directly. Departments work in silos, conversations occur among random chat groups of professionals and sensitive topics in the profession aren’t generally debated in a secure environment. Time for a little video aside here: Traditional communication tools simply were never made to deal with academic governance models.

HECTQ was developed to fill this structural gap. It is a secure communication ecosystem purpose-built for higher-education professionals - no students, no open public access, no unclamped participation. It is a scalable system that combines the benefits of structured channels, direct messaging, institutional coverage, subscriptions and analytics.

The problem

A fragmented exchange of knowledge in higher-education institutions. Important discussions are lost in email threads. Institutional policies are inconsistently communicated. Within internal communities, leadership has limited insight into adoption and engagement.

In my opinion, off-the-shelf messaging platforms suffer from three fundamental deficits: governance, billing flexibility and organizational transparency. They do not include the fine-grained role control, institutional subscription logic and oversight mechanisms which are necessary in an academic context.

HECTQ was developed precisely to address these challenges.

About the platform

HECTQ is a safe and secure comms hub for higher-ed professionals. Users participate in topic-based public or private channels, chat directly with peers (direct messages), and discover conversations through structured tagging.

Institutions gain centralized administrative control. They manage roles, permissions and subscriptions through the Admin Panel and monitor engagement metrics across the platform.

In essence, the system is composed of two tightly bound layers: the Admin Panel and the User Web Application. Both were designed with scalability as a priority, allowing the platform to grow without needing to rework its foundation.

The need for a custom solution

The academic governance model needs more than a messaging feature. It needs orderly onboarding, role hierarchy, institutional billing logic and policy cohesion.

HECTQ was designed from the ground up to ensure professional-only access through edu and hecenterprise domain validation, granular management of permissions based on roles, both individual or institution-based subscription models, and transparency in the analytics made available to leadership teams.

These requirements left a custom-built architecture as the only viable solution.

Development challenge

HECTQ demanded multiple layered roles - Administrator, Super Manager, Manager, Institution and User - each with granular control over channels, chats analytics, billing and content moderation. The challenge wasn't just about creating roles, it was also about building a scalable authorization engine that can evolve as institutions grow or change internal governance models.

We settled for the second approach and built a centralized permission layer with configurable access matrices at the backend level instead of writing static role checks throughout the codebase. They are granted on a module basis and can be extended at runtime without changing business logic.

Such approach has enabled HECTQ to have tight governance control while still be suitable for emerging institutional needs - a key success factor for sustainable growth within higher-education space.
